How to use the YouTube Creator Workspace

Read what the guide says

This is the YouTube Creator Workspace.

Move videos from idea to published on a board, with dates, checklists,

overdue warnings and a weekly summary.

Add a video with its working title, format and publish date,

import your ideas one per line, or click "Try an example".

Or press Try an example to fill in sample details.

Move each card across the board as the work moves on,

and open it to set the owner, notes and checklist.

Check the schedule and the weekly summary for what is overdue or due soon,

and download a backup now and then.

It runs in your browser, so nothing you type is uploaded.

Try it free on this page.

Import ideas

    About the YouTube Creator Workspace

Add the videos, Shorts and live streams you are working on, or import a list of ideas, and move each one across a board from Idea to Script, Shoot, Edit, Ready and Published. Each card has a publish date, an owner, notes and a checklist for its format, and the board flags titles over YouTube's 100 characters and videos that are overdue. Switch to the schedule to see videos by publish date, or to the weekly summary to share progress with your team. The board is saved in your browser, never uploaded, and you can download it as a backup, a CSV or a calendar file.

    How it works

    1. Step 1

Add a video with its working title, format and publish date, import your ideas one per line, or click "Try an example".

    2. Step 2

Move each card across the board as the work moves on, and open it to set the owner, notes and checklist.

    3. Step 3

Check the schedule and the weekly summary for what is overdue or due soon, and download a backup now and then.

    A board for every format

Long-form videos, Shorts and live streams each get their own checklist, which is our checklist rather than a YouTube rule. For a long-form video it includes a 16:9 thumbnail, chapters and an end screen, which YouTube shows in the last 5 to 20 seconds; for a Short, a vertical or square shape of up to 3 minutes; for a live stream, scheduling it in Live Control Room, a test as an unlisted stream and a local recording as a backup, as YouTube recommends. Cards move with buttons, so the board works with a keyboard, and you can drag them on a computer.

Dates, overdue warnings and the weekly summary

A video whose publish date has passed and that is not yet in Published shows as overdue, and one due in the next 7 days shows as due soon, which is our suggestion. The weekly summary, Monday to Sunday, lists what was published, what is still due, what is overdue and what is due next week, ready to copy into WhatsApp or an email. The calendar file puts each publish date into Google Calendar, Outlook or Apple Calendar.

    What this tool cannot do

It does not sign in to YouTube, upload or schedule anything, or know whether a video has gone live: you move the cards yourself, and schedule each video in YouTube Studio. The board is kept in this browser's storage, so your team cannot see it and it is lost if you clear your browsing data. Download a backup, and restore it on another device when you need to.

    Frequently asked questions

    Where is my board saved?

In this browser's own storage, on your device. Nothing is uploaded to us or to YouTube. That also means a teammate cannot see it and another browser or device starts empty, so download a backup (.json) and restore it wherever you need the board. Clearing your browsing data for this site removes the board.

Can I import ideas from the Video Ideas tool?

Yes. Copy the ideas from our Video Ideas tool, or download its CSV, and paste or open it under Import ideas: each working title becomes a card in Idea, as a long-form video or a Short, as the tool suggested. You can also open an Upload Planner CSV to bring in its topics with their publish dates, or paste any list with one idea per line.

How long can a YouTube title be?

Up to 100 characters. A card shows a warning when its title is longer, so you can shorten it before you write the script. Rough ideas can stay long for a while; check the final title with our Video SEO Checker before you publish.

How long can a YouTube Short be?

Up to 3 minutes, in a square or vertical shape, for Shorts uploaded from 15 October 2024. A video in the 16:9 shape stays a long-form video. Set a card's format to Short and its checklist reminds you of the shape and length.

Can I add the publish dates to Google Calendar?

Yes. Download the calendar file (.ics) and import it into Google Calendar, Outlook or Apple Calendar: each video with a publish date becomes an all-day event with its format, column and owner. The file does not update by itself, so download it again after you change dates.
