Cut monthly pay for loss-of-pay days using

Our method: monthly amount × paid days ÷ days, rounded to the rupee. Use the one your pay policy sets.

Earnings

Type the full monthly amount. Amounts ticked as monthly are cut for loss-of-pay days; one-off amounts such as bonus or overtime are not. Rows left empty do not print.

Deductions

Type professional tax and TDS as your State's rules and your payroll or CA set them: the tool has no rates for them. Use the helper below for EPF and ESI.

Contributing on wages above the ceiling needs a joint request by the employee and employer under paragraph 26(6) of the EPF Scheme.

Our estimate: earnings named basic pay, DA or retaining allowance, plus any part of the other earnings above half of total pay (the labour codes' 50% rule). Type the figure your CA gives if it differs.

Sources: EPFO (employee share 12% of basic wages, DA and retaining allowance; ceiling ₹25,000 a month from 17 September 2026, ₹15,000 before) and ESIC (employee share 0.75% of wages; limit ₹21,000 a month; no employee share up to ₹176 a day). Rounded to the nearest rupee (our method); the EPFO and ESIC portals work out what you pay.

Moves the month on and keeps the employee and pay.

About the Salary Slip Generator

Type your business, the employee and the month's pay, and get a clean A4 salary slip. The tool cuts monthly amounts for loss-of-pay days, can fill the employee's EPF and ESI shares from the current rates and limits (you can change them), adds up gross pay and deductions, and writes the net pay in words in lakh and crore. Professional tax and TDS are what you type. It runs in your browser: your business details stay in this browser, and employee details and pay are not saved.

How it works

  1. Step 1

Fill in your business name, address and logo once; they are kept in this browser. Then add the employee's details and choose the month.

  2. Step 2

Type the full monthly amount of each earning, any loss-of-pay days, and the deductions. Use the EPF and ESI helper to fill those two rows, and type professional tax and TDS yourself.

  3. Step 3

Read the checks under the slip, then choose Print or save as PDF. Next month, use Make next month to start from the same slip.

How loss-of-pay days are worked out

For each earning marked as a monthly amount, the tool pays the monthly amount × paid days ÷ days, where the days are the days in that month or 30, as you choose. This is our method: if your appointment letters or pay policy use another, follow them. Bonus, overtime and other one-off amounts are not cut. Each amount is rounded to the nearest rupee.

The EPF and ESI figures the helper uses

EPFO gives the employee's EPF share as 12% of basic wages, dearness allowance and retaining allowance. The wage ceiling went up from ₹15,000 to ₹25,000 a month on 17 September 2026 (S.O. 5109(E)); contributing on higher wages needs a joint request by the employee and employer under paragraph 26(6) of the EPF Scheme. ESIC gives the employee's ESI share as 0.75% of wages for employees earning up to ₹21,000 a month (₹25,000 for a person with disability), and an employee whose average daily wage is up to ₹176 pays no share. Under the labour codes, in force since 21 November 2025, allowances other than basic pay, DA and retaining allowance that come to more than half of total pay are added to wages. The helper shows its estimate of the wages, and you can type your own figure.

What this tool cannot do

It does not work out income tax or TDS, and it has no professional tax rates, which differ by State: type those amounts yourself. It cannot tell whether your establishment must join EPF or ESI, and it shows only the employee's shares, not the employer's, and files nothing. Its layout is a general one, not a form prescribed under the Code on Wages rules. It is not tax, legal or financial advice: check pay, deductions and slips with your CA.

Frequently asked questions

How do I make a salary slip for free?

Type your business details, the employee, the month and each earning and deduction here, then choose Print or save as PDF. In the print window, pick "Save as PDF" as the printer. Nothing you type is uploaded, and only your business details are kept in this browser.

How is salary worked out for loss-of-pay days?

A common method, and the one this tool uses, is the monthly amount × paid days ÷ days in the month. For example, ₹11,000 basic pay with 1 loss-of-pay day in a 30-day month gives ₹11,000 × 29 ÷ 30 = ₹10,633. You can choose 30 days for every month instead. Follow your own pay policy if it says otherwise.

How much EPF is deducted from salary?

EPFO gives the employee's share as 12% of basic wages, dearness allowance and retaining allowance. Since 17 September 2026 the wage ceiling is ₹25,000 a month (it was ₹15,000), so the share on the ceiling is ₹3,000 a month, unless the employee and employer jointly choose to contribute on higher wages.

When is ESI deducted from salary?

In an establishment covered by ESI, it applies to employees earning up to ₹21,000 a month, or ₹25,000 for a person with disability. The employee pays 0.75% of wages and the employer 3.25%. If the wages go above the limit during a contribution period, ESI continues until that period ends. An employee whose average daily wage is up to ₹176 pays no share.

Is a salary slip compulsory?

The Code on Wages, 2019, in force since 21 November 2025, asks every employer to give employees wage slips on or before paying wages, on paper or electronically, in the form its rules prescribe. This tool's slip is a general layout, so check the form that applies to you with your CA.
