Read what the guide says

This is the Email Signature Generator.

Build an email signature with your logo, phone and WhatsApp links,

and copy it into Gmail or Outlook.

Fill in your name, title and business,

then the contact details and links you want people to use.

Or press Try an example to fill in sample details.

Add your logo or photo by its https address, choose a layout,

a colour and a font, and fix anything the checks point out.

Press "Copy signature" and paste it into your email app, following the steps for Gmail,

Outlook or Apple Mail.

It cannot set the signature up inside your email account for you: you paste it in yourself.

It runs in your browser, so nothing you type is uploaded.

Add it to your email app

Press "Copy signature" first, then follow the steps for your app on a computer.

  1. 1Press "Copy signature" above.
  2. 2In Gmail on a computer, open Settings (the gear at the top right) and choose See all settings.
  3. 3Scroll down to Signature and choose Create new. Give the signature a name.
  4. 4Click in the signature box and paste (Ctrl+V, or Cmd+V on a Mac).
  5. 5Choose when to use it, then press Save Changes at the bottom of the page.

Gmail allows up to 10,000 characters in a signature, and an image counts toward that limit. Gmail's help suggests images about 70 to 100 pixels high and 300 to 400 pixels wide. An image kept on Google Drive shows only if its sharing is set to public.

About the Email Signature Generator

Type your name, job title, business and contact details, add a logo or photo from its web address, and pick one of four layouts and your colour. You see the signature as you type, copy it in one click with its formatting, and paste it into Gmail, Outlook or Apple Mail with the steps below. It checks the image, the links and the length, and gives you the HTML too. It runs in your browser: nothing you type is uploaded or saved.

How it works

  1. Step 1

Fill in your name, title and business, then the contact details and links you want people to use.

  2. Step 2

Add your logo or photo by its https address, choose a layout, a colour and a font, and fix anything the checks point out.

  3. Step 3

Press "Copy signature" and paste it into your email app, following the steps for Gmail, Outlook or Apple Mail.

How the signature is built

The signature is built from simple tables, with the styles written on each part, and has no scripts, web fonts or tracking pixels. Phone numbers become tap-to-call links, a WhatsApp number becomes a wa.me chat link, and your website and social profiles become plain text links, so nothing depends on extra images.

Images in a signature

A logo or photo must already be online, for example on your website, because a signature you copy carries only the image's address. Gmail's help suggests signature images about 70 to 100 pixels high and 300 to 400 pixels wide, says an image kept on Google Drive must be shared publicly, and counts an image toward its 10,000-character limit. Add a short description (alt text) for screen readers and for when the image does not load.

What this tool cannot do

It cannot set the signature up inside your email account for you: you paste it in yourself. Each email app draws signatures in its own way, so send yourself a test email afterwards. It does not host your logo, add social media icons as images, or make signatures for a whole team at once.

Frequently asked questions

How do I add this signature to Gmail?

Press "Copy signature". In Gmail on a computer, open Settings (the gear), then See all settings, scroll to Signature and choose Create new. Paste into the box, choose when to use it and press Save Changes at the bottom of the page. Gmail allows up to 10,000 characters in a signature.

How do I add it to Outlook?

In new Outlook, open Settings, Accounts, Signatures, choose Add signature, name it, paste it into the box, tick new messages and replies, and save. In classic Outlook for Windows, open File, Options, Mail, Signatures, choose New, paste into the Edit signature box, then press Save and OK.

Why does my logo not show?

The image must be online at a public address that anyone can open. A file on your computer, or a Google Drive image that is not shared publicly, will not show for the people you email. Open the image address in a private browser window: if it does not load there, it will not load for them either.

Can I add my GSTIN or a legal note?

Yes. Use the short line at the bottom for a GSTIN, opening hours or a note such as a confidentiality line. Keep it to one line, so it does not outweigh your email. The tool adds only what you type.

Does the signature track who opens my emails?

No. It has no tracking pixels, hidden images or scripts. The only image is the logo or photo you add yourself, loaded from the address you give.
